The Munich-based company Franz Xaver Meiller Fahrzeug- und Maschinenfabrik – GmbH & Co. KG developed from a blacksmith’s shop into the globally active MEILLER Group. Just the beginning: Consolidation project for the archive solutions
In late 2015, the MEILLER Group’s IT department was faced with the question of how to efficiently expand the declining storage space for the archiving systems used for email and SAP applications. During the analysis of the overall situation, it became clear that the consolidation of the storage systems was obviously only a partial aspect of the actual problem. There was a high level of dissatisfaction in the specialist departments with the functional scope of the email and SAP archiving solutions used at that time. In addition to missing features, high operating costs and the associated maintenance costs for two separate archive systems were criticized. Against this background, dataglobal consultants proposed to introduce a company-wide, economically attractive and future-oriented overall solution, which in addition to a modern archive solution also meets the increasing requirements in the course of the digital transformation. In cooperation with DELL, a long-standing partner of dataglobal in the infrastructure sector, a solution tailored to MEILLER was implemented.
Introduction of dataglobal CS as a central solution for content services, digital workplace and archiving
The requirements of the MEILLER Group were summarized conceptually and implemented accordingly. The cost-intensive archiving silos were replaced by dataglobal Content Services – as a central solution for all archiving needs. The introduction of dataglobal Email Management and dataglobal SAP Archiving not only led to a significant reduction in system and maintenance costs, it also equips MEILLER for the future, as the solution can be scaled at any time according to requirements and can be extended very flexibly to include additional applications to be archived.
Compliant migration of archived legacy data
An essential part of the concept was the migration of the emails already archived with CommVault and the SAP data archived with OpenText. Here, it was of crucial importance that not only the existing legal framework was completely taken into account, but also that the migration had no impact on the running operation.
Data classification and search options
The MEILLER IT expert committee was particularly impressed by the content-based classification of the data and the resulting possibilities for their further processing. Users were also impressed by the corporate-wide full-text search, which includes email attachments. Valuable corporate data can now be integrated, linked and prepared and provided for workflows and digital processes with dataglobal CS. In addition, the Exchange Server was relieved by reducing the database size by 40%. This is possible by exchanging the original email messages and attachments with link objects on the Exchange Server during the archiving process. The resulting optimization of the data backup volume is another positive effect of this feature. By eliminating the double archive operation, a drastic reduction of the support and maintenance costs could be realized.
Digital order file for the order data management
But that’s not all: To support order processing outside the pure SAP document archiving, an order file linked to SAP was required. So in the next step, MEILLER went live with a feature of dataglobal SAP Archiving that enables specialist departments to depict archived SAP documents in files according to their subject matter – completely independent of whether they are SAP or NON-SAP documents. The digital order file is automatically created with the creation of an order in SAP and linked with the SAP receipt. Paper receipts and above all electronic documents from various input channels are combined in a very simple and intuitive way in a central location in the dataglobal CS. Documents generated by SAP, such as bills, order confirmations, credit notes, etc., are automatically linked to the corresponding file and the appropriate place in the dataglobal CS. Relevant email communication is automatically entered into the corresponding file. All authorized persons have easy and complete access to all the relevant documents for a specific order from anywhere. Users of the various specialist departments – commercial department, merchandise management, production – simply file information related to the order such as paper-based documents, emails, faxes, office files or drawings via drag-and-drop or via an office interface directly in the order file.
A central solution with a future
The digitization of order data management at MEILLER leads to fast and secure order processing as well as simple and intuitive collaboration in the dataglobal Digital Workplace, which provides web-based, mobile or desktop access with maximum flexibility. All receipts and paper documents related to the order from the SAP system are also archived corporate-wide, automatically and legally secure. The corporate-wide archiving project originally planned under purely compliance and infrastructure aspects has meanwhile become an essential foundation for the optimization and digitization of MEILLER’s business processes.
